Rules and terms and conditions of attendance
Woodchem® conference – 20-22 November 2019 – Nancy
These terms and conditions apply unreservedly and without restriction to any participants wishing to register for the international conference WOODCHEM® 2019 due to take place on 20-22 November 2019 in Nancy, referred to herein as ‘the event’.
Le Pôle Fibres Energivie – an association under the law of 1 July 1901, having its headquarters at 27 rue Philippe Seguin, 88000, EPINAL, entered in the Epinal register under number ° 485 092 274 and Pôle IAR, IAR – The French Bioeconomy Cluster IAR – an association under the law of 1 July 1901, having its headquarters at 10 rue Pierre-Gilles de Gennes, 02000, BARENTON-BUGNY, entered in the LAON register under number ° 489 228 908, are the event organizers.
These terms and conditions are contractually binding.
These terms and conditions supersede any other document and, in particular, the participant’s own general or specific terms and conditions.
Le Pôle Fibres Energivie and Pôle IAR reserve the right to amend its terms and conditions of attendance at any time. The applicable terms and conditions are those in effect on the date of registration by the participant.
Registration is online on www.woodchem.fr
In registering, the participant unreservedly accepts and agrees to these rules and terms and conditions of attendance in full.
All registrations are nominative.
Le pôle reserves the right to reject a registration if the event has reached full capacity.
Registrations are taken into account, processed and confirmed according to their order of arrival.
The participant undertakes to supply information that is true, accurate, current and complete.
On the basis of this information, each participant will have access to a personal user account to consult/amend their registration.

Registration confirmations will be sent by email upon receipt of payment. If either of these are missing, you will receive your registration request by email along with the pro-forma invoice. Le Pôle reserves the right to cancel a registration at the ‘member’ or ‘student’ rate if the eligibility criteria are not met.
Subscription fee and terms and conditions of payment
Rates are given exclusive and inclusive of tax. French VAT at 20% applies.
For foreign businesses, this VAT rate is applicable if they do not enter an EU VAT number on the registration form.
- « Conference (cluster members) » : Pôle Fibres-Energivie, Pôle IAR or partner cluster member: 380 € including VAT
Partner clusters are: IAR, XYLOFUTUR and CosmeticValley.
- « Conference (cluster members)” from 16 June to 15 September 2019 :
350 € including VAT
- « Conference » from 16 June to 15 September 2019 :
400 € including VAT
- « Conference » : 450 € including VAT
- « Students » : 90 € including VAT
These rates include access to the WOODCHEM® conference on 20-22 November 2019 including:
– Three-day conference
– Poster display
– Buffet lunches and breaks
- Gala diner rate : 80 € including taxes
The rate chosen by the participant on the online registration form will be approved by Pôle Fibres-Energivie and Pôle IAR
Student having chosen this status, will have to present their student card at the entrance of the event. The organization may refuse the entrance if this condition is not fulfilled.
- Pôle or partner cluster member
To benefit from this rate, you must be up to date with your subscription at the time of registration.
Those able to benefit from the members’ rate are employees of the member organizations or members of their governing bodies. Membership of a body which is itself a member of one of the Woodchem® organizing networks, does not entitle the individual in question to this registration rate.
For payment by check or bank transfer, a pro forma invoice will be issued and sent by email with each registration. It will include a breakdown of the order and the amount payable to Pôle Fibres-Energivie.
An invoice will send be sent after the payment has been received.
An invoice marked as paid will be issued and sent by email if the payment is made online at the time of registration.

Withdrawal or cancellation by the participant
Any request to cancel the registration must be sent by email to email@example.com.
Cancellation requests must be made in this way 14 days prior to the event date and shall give rise to a refund. €50 including tax will, however, be retained by the organizer to cover administrative costs. Beyond this date, Pôle Fibres-Energivie shall retain all registration fees.
Cancellation by the organisers
The organisers of events each reserve the right to cancel or postpone all or any of the event in circumstances where it becomes impossible to organize or if the minimum number of participants required is not reached.
In this case, participants shall be notified and any sums collected by the organizers shall be refunded in full. Organisers shall not be held liable and the participant shall make no claims, in particular for damages, in any form.
The organisers of the events may not be held liable:
- for information communicated by participants
- in the event of an accident for which the participant is liable or any other incidents such as breakages, loss or theft.
In accordance with the provisions of the French Data Protection Act of 6 January 1978 (loi n°78-17), amended by that of 6 August 2004 (loi n°2004-801 relative à l’informatique, aux fichiers et aux libertés) Pôle Fibre-Energivie has made a prior declaration for the processing of personal data to the French data protection authority (Commission Nationale de l’Informatique et des Libertés – CNIL).
In accordance with the French Data Protection Act of 6 January 1978 (loi ‘Informatique et Liberté), you are entitled to oppose, access, amend or remove all of your personal data at any time. Proof of identity must be included with any request.
For any additional information on your rights, you may consult the CNIL website.
Data are only collected with the aim of establishing a participant profile to match with a potential partner.
You hereby commit to providing accurate, complete and unambiguous personal data.
Such data are required for the processing of registration requests and the participant is hereby notified that refusal to provide these required data shall mean that it impossible to determine whether the participant’s profile is suitable for the event and, as such, shall result in their registration being rejected.
Data collected by Pôle Fibre-Energivie and Pôle IAR are processed in accordance with the provisions of the French Data Protection Act of 6 January 1978 as amended by that of 6 August 2004 (loi n°78-17 / loi °2004-801 relative à l’informatique, aux fichiers et aux libertés).
In accordance with the provisions of the French Data Protection Act of 6 January 1978 (loi n°78-17) the organisers reserves the right to share any or all of the participants’ personal data with partners and other, for the purposes of organising the conference and monitoring by the organisers.
Any use of personal data other than that stated above must be explicitly consented to in advance by each participant on an individual basis.
In accordance with the French Data Protection Act of 6 January 1979 (loi n°78-17), Pôle Fibre-Energivie and Pôle IAR reserve the right to share your personal data either to meet a legal obligation or in accordance with a ruling by the courts, administration or an independent administrative body (such as, for example, the French Data Protection Authority, the Commission Nationale de l’Informatique et des Libertés).
In accordance with the French Data Protection Act of 6 January 1978 (loi n°78-17), Pôle Fibre-Energivie and Pôle IAR undertake to take any necessary precautions in keeping with the nature of the data and risks of processing, to ensure the security of your personal data and, in particular, to prevent your personal data from being distorted, damaged or third parties from having access to it.
The legal relationship established by these rules between participants and organisers, is subject to French law. In the event of a dispute the French version shall prevail.
Parties shall first endeavour to reach an amicable solution, in accordance with the rules of the Alsace Médiation arbitration platform. Should this fail, jurisdiction shall lie with the Strasbourg courts only.
